A media advisory is a one-page description of a future event or other news item that serves as a notification or invitation for coverage. If it is appropriate for the media to attend a community service event; such as a ribbon cutting ceremony for a renovated facility or the unveiling of a new playground, send reporters a media advisory as soon as possible so reporters and editors can put it on their calendars. It is also a good idea to send out, as a reminder, the same media advisory approximately one week before the event.
A news release is a summary of a story you would like the news media to cover and is typically sent out after the news-worthy event occurs. When preparing a news release, remember to include the date, time and location of the event; how many volunteers participated; the amount of money or time donated; what charity or organization is benefiting from this event and how it affects your community. In addition, the release must contain contact information from your chapter or company’s chief spokesperson. Also key to a good news release is the inclusion of your chapter or company logo, a quote from your spokesperson and, if possible, a quote from the spokesman from the organization for which you are volunteering. |

Taking good photos while volunteering can benefit your outreach efforts tremendously. Newspapers often look for photos to include with their stories. Photos can also be placed on your website, in your chapter or company newsletter and shared via social media channels along with a summary of your project. Try to take a variety of shots throughout the process including; a group shot of your smiling volunteers, action shots of your volunteers hard at work, before and after photos of your project, and any local officials or leadership who are also involved.
Taking video is another great way to preserve your efforts. Short video clips can be shared with local news channels or uploaded to YouTube. Once on YouTube, the video can be easily shared through your communications channels. Video also makes for a great addition to the annual ABC Cares video!

Make sure to let your community know that ABC members are behind these great volunteer projects. All chapters and members are encouraged to place the official ABC Cares logo on any signs, handouts, or other materials you may use throughout the volunteer process. This will brand your project as “ABC.”
The ABC Cares flyer, which is available for download, summarizes the ABC Cares program and can be easily distributed to members. Many construction companies are already involved in great volunteer projects but are unfamiliar with the ABC Cares program. Pass this along to them and help them get the recognition they deserve! |
