Job Overview

This role will be responsible for managing the reception function of ABC, promoting office management support for the organization, supporting the needs of the office, and assisting the Director of Education with the Construction Trades Academy (CTA). The position will serve in a support role helping to ensure the office runs smoothly and completes ad hoc project requests that come from throughout the organization. The reception function includes answering and directing incoming calls, greeting and instructing visitors, ordering food for office functions, and other administrative duties. CTA support can include various activities including online research, event assistance, record keeping, application processing, marketing, communications, and other projects as needed.

Position is supervised by the President/CEO but is a key support role to the Director of Education & Safety and others as needed.

Responsibilities 

Academy Affairs

  • Assist Dir. of Education in maintaining accurate database to include classes, curriculum and students
  • Assist in the school orientation, paperwork, copies, etc.
  • Assist with the recruitment/scheduling of high school counselors in regards to work-based learning programs
  • Assist in the development of CTA promotional materials and marketing efforts
  • Coordinate high school visits and Open Houses in both Nashville and Knoxville
  • Assist Dir. of Education in any administrative duties needed
  • Assist Dir. Of Education with student/company outreach and recruitment
  • Monitor cleaning schedules and coordinate with custodial staff or cleaning services as needed


Administrative

  • Answer direct incoming calls and inquiries
  • Welcome all visitors and guests
  • Direct and give visitors instructions by referring to appropriate staff or information
  • Manage the office boardroom and scheduling
  • Manage and responsible for the renting of association banquet room
  • Receive shipments and deliveries and be responsible for delivery to the appropriate staff person
  • Pick up, deliver and distribute mail
  • Order supplies and keep office stocked with, but not limited to, coffee, food, beverages, paper, cleaning supplies, etc. ensuring timely ordering and restocking
  • Liaison to any building tenants and responsible for any issues with building maintenance.
  • Assist in the preparation, organization, setup and breakdown of all chapter and education related events
  • Research, gather information, and collect data based on the requests of staff
  • Responsible for various project work to assist chapter in its mission and vision 


Qualifications and Experience

  • 1-2 years of related work experience
  • Strong project management skills with the ability to multitask, be very organized, and prioritize on tight deadlines.
  • Tech savvy; experience with email marketing systems and social media tools
  • Strategic Thinker


Specialized Skills

  • Customer service experience.
  • Computer skills in Microsoft Office including Outlook, Excel, Word, and PowerPoint.
  • Flashpoint

Job Type: Full-time

Salary: $41,669.52 - $50,182.64 per year
